Service Cancellation Policy

This Service Cancellation Policy explains the process and conditions for cancelling services provided by Digital South.

By purchasing or using services provided by Digital South, you agree to the terms of this policy, together with our Terms of Service and any applicable service agreement, quotation, or invoice.

1. General Cancellation

Clients may request cancellation of a service by contacting Digital South using the official contact details provided on our website.

Cancellation requests should include:

  • Client name
  • Business name, where applicable
  • Service being cancelled
  • Reason for cancellation, if applicable
  • Requested cancellation date

A cancellation request will only be considered received once Digital South has acknowledged the request.

2. Website Design and Development Services

Website design and development projects may be cancelled before completion.

If a client cancels a project after work has started:

  • The client remains responsible for work already completed.
  • Any outstanding amounts for completed work must be paid.
  • Deposits or payments may not be refundable where Digital South has already performed work or incurred project-related costs.
  • Digital South may provide completed work or project files only after all outstanding amounts have been paid, where applicable.

If the client cancels before work has started, the refund of any payment will depend on the circumstances, the agreed service terms, and any costs already incurred by Digital South.

3. Hosting Services

Hosting services may be cancelled by contacting Digital South.

Unless otherwise agreed, cancellation of hosting services will take effect at the end of the current paid billing period.

Once a hosting service has been cancelled:

  • The hosting service may be suspended or terminated.
  • Website files may no longer be accessible through the hosting account.
  • Email accounts connected to the hosting service may be affected.
  • The client is responsible for arranging alternative hosting if required.

Clients are responsible for ensuring that they have obtained any required website files, emails, databases, and other data before hosting services are terminated.

Digital South is not responsible for data that is lost after a hosting account has been terminated, where the client has not made appropriate arrangements for backup or migration.

4. Recurring Services

For recurring services, including applicable hosting, maintenance, SEO, social media marketing, or other ongoing services, clients may request cancellation before the next billing period.

Where a recurring payment has already been processed, the cancellation will generally apply to future billing periods and may not automatically result in a refund for the current paid period.

Specific cancellation terms may apply where they have been agreed in a written service agreement.

5. SEO Services

SEO services may be cancelled by submitting a cancellation request to Digital South.

Cancellation will generally apply to future services and billing periods.

Any work already completed before cancellation remains payable.

Cancellation of SEO services does not guarantee that previously achieved search engine rankings, traffic, or results will remain unchanged.

6. Social Media Marketing and Content Creation

Social media marketing and content creation services may be cancelled by contacting Digital South.

Any work already completed or content already created before the cancellation date may remain payable.

Where a client has approved content or work has already been prepared according to the agreed package, cancellation may not entitle the client to a refund for that work.

7. Refunds Following Cancellation

Cancellation does not automatically guarantee a refund.

Refund eligibility may depend on:

  • The type of service
  • Whether work has already started
  • Whether the service has already been delivered
  • Whether third-party costs have been incurred
  • The applicable quotation or service agreement
  • The timing of the cancellation request

Where a refund is approved, it will be processed using a reasonable payment method.

Third-party fees, domain registration costs, hosting costs, software costs, plugin costs, payment processing fees, or other non-refundable costs may not be refundable.

8. Cancellation by Digital South

Digital South may suspend or terminate a service where:

  • Payments are overdue
  • The client breaches the Terms of Service
  • The service is used for illegal activities
  • The client provides false or misleading information
  • The client engages in abusive, threatening, or inappropriate behaviour
  • The client uses the service in a way that creates security or operational risks
  • The client violates applicable laws or third-party service policies

Where appropriate, Digital South may provide notice before terminating a service.

However, immediate suspension or termination may occur where necessary to protect Digital South, its systems, service providers, clients, or other users.

9. Outstanding Payments

Cancellation does not remove the client’s responsibility to pay amounts already owed.

The client remains responsible for:

  • Completed work
  • Services already provided
  • Outstanding invoices
  • Approved additional work
  • Non-refundable third-party costs
  • Other amounts agreed in writing

10. Data and Website Migration

If a client cancels a hosting or website-related service and wishes to move their website to another provider, the client is responsible for requesting any required migration arrangements.

Additional fees may apply for:

  • Website migration
  • Data export
  • Email migration
  • Database migration
  • Technical assistance
  • Website setup with another provider

Digital South is not responsible for the successful operation of a website after it has been transferred to another hosting provider or third-party service.

11. Cancellation Requests

12. Changes to This Policy
